Contacts
Any person you interact with for business purposes, whether they are a customer,
vendor, or other contact.
Customers
B2B – The company/organization a contact works for
B2C – Customers not always used. When used, they are the “Buying Party”,
“Household”, or other grouping.
Leads
A potential customer that you have no existing relationship with. Purchased
online, met at a trade show, submitted form on website, etc.
Opportunities
A deal in the pipeline. Leads can be converted to opportunities once you begin
talking. An opportunity is always linked to at least one contact and/or customer.

10. Key User/Security Related Questions
1. How many users will you add to the system?
2. Should all users have access to the same data?
3. If not, what groups of users would exist?
4. What data should be protected from these user groups?
We will add users in the Employees App and provide Security Roles.
11. Potential CRM Integrations
Email
Two-way sync of all emails, works with any provider that supports email forwarding and
secured IMAP connections.
Calendar & Activities

Phone System
Integrate RingCentral, explain mobile app call logging options to users.
Website & Other Custom Integrations
Add a web form to your site which automatically creates leads in Apptivo. Full REST API
available for custom integrations.
12. Data Migration Questions
1. Are you brining data from another system?
2. Can you extract CSV files from this data?
3. Are all fields formatted well? First/last name, addresses, etc.
It’s best to manually create a few records from your spreadsheet to confirm the
configuration. Then delete the test data, and import.
Before importing, we will create multiple files. One file for each app that we will
import to.

Define the stages a customer goes through
from start to finish. From acquiring their
contact information, to closing the deal.
This could be a set of steps between leads
& opportunities, or a simple status of
“Prospect”, “Current Client”, “Past Client”.
Opportunity “Sales Stages” is the primary
stage to drive workflow for companies
who use the full sales features of the CRM.
Lead “Status” is typically kept to a small
set of options. It’s common to have a
“Status” on each customer/contact too.
