  4. Becca Let’s navigate to My Rotary… How many of you have already visited Rotary’s website? We have rotary.org, a public site, pictured here. This site tells our Rotary story to external audiences in a fresh, streamlined way, encouraging people to get to know Rotary and all of the good work we do worldwide. Then we have My Rotary – the area of the site specifically designed for members. [CLICK] You can get to My Rotary by clicking on the link from the main rotary.org site. [CLICK]
  5. Becca Once you have logged in you will see a number of different tabs at the top that will take you to different areas within the site. This is basically your homepage and for the next few minutes George and I are going to walk you through the different areas. The first area I want to review is Manage, primarily the Club Administration page, which is where you will find information, tools, and resources, to administer your club. [click]
  6. Becca: On the Club Administration page, I want to first point out some helpful resources on the right-hand side of the screen. First you will see a list of links to administrative functions, information, and forms. This is an important section because it allows you to update member data and changes has they happen. This ensures you are billed correctly and that your actual membership numbers are up to date. This is also where you will report new officer appointments. Current club officers can make changes in this area. (president, secretary, treasurer, membership chair, Foundation chair, executive secretaries) You can also: Update your club’s meeting details, change your club’s permanent mailing address and contact info, or add/remove vendor partner organization View information pertaining to Rotaract and other club sponsorships like Interact, satellite clubs, or Rotary Community Corps. Find forms pertaining to club giving, as well as administrative changes like a club name change or merger. View or manage leads: Review your online membership leads for prospective, referred, and relocating or returning members. Membership leads: How many of you have already used Membership Leads? Has anyone gained a new member as a result of memebrship leads? This is a relatively new program and we are seeing tremendous numbers of prospective members. It’s basically a way for people in your community to express their interest in joining Rotary. They fill out a form online and it is filtered down to the club level by the district. George, you’re the District Membership Chair for your home district. Can you walk us through this process in a little more detail?

  11. Becca: Discuss Membership Statistics Only about 50% of leads are being handled! These numbers are from 2015-June 2, 2016. There have been 675 inquiries and only 190 have been passed down to the club level. From that number, 26 leads have been admitted into Rotary.
  12. Becca Also under the Manage section within MyRotary you can access “Reports”. I use this all the time for pulling membership reports, statistics, global trends, you name it.
  13. Becca I could go on all day about membership reports, but besides those, you also have access to reports on Contribution and Recognition, club reports, alumni, giving, and a few others. I highly encourage you to play around with the reports sections and dedicate a few minutes to exploring all of your different options.
  14. Becca As you are carrying out your projects, keep in mind the great resource you have through our Brand Center, which is available on My Rotary under the Manage section. I’m sure you’re starting to realize that this section is home to a lot of important material. Basicall, the Brand center is where we encourage you to use our new voice and visual identity to tell Rotary’s story. George This is the Brand Center: It offers download resources, editable templates and customizable materials, [click] There is a publication where you will find a detailed overview of all the colors, fonts, and guidelines with regard to our new visual identity. It is called «Tell Rotary’s story – Voice and Visual Identity Guidelines for Rotarians». This publication contains many examples and tips on how to adopt our new look. [click] You can also download the Rotary logo, program logos, or use the tool to create a logo with the Masterbrand signature and the name of your club. [click] Use our customizable templates and customizable materials to promote your club or project. [click]

  19. George The last area of My Rotary that I want to show you is Take Action. This is where you will find Rotary’s tools to help clubs and districts to develop projects, including: -Rotary Club Central -Ideas -Rotary Showcase We’ll take an in depth look at Rotary Club Central in a minute, but first, let’s take a look at Ideas and Showcase.   20. Becca The next tool we want to look at is Ideas. This tool is also accessible under the Take Action section of My Rotary or by typing ideas.rotary.org into your internet browser. Ideas helps your clubs connect with project partners and find support for your service project.  You can post service projects to help raise awareness and find project contributors by soliciting for funds, volunteers, resources and partnerships from Rotarians and non-Rotarians alike.  Other site visitors can browse projects in need of assistance; contribute time, money or resources or partner through the tool.   21. George Rotary Showcase is the last tool we’ll look at from the Take Action section of My Rotary. Here, you can: -browse projects to explore the good work that Rotary clubs are doing locally and globally -share your impact (volunteer hours, number of volunteers, cash contributions, in-kind contributions), as well as description of the project and photos/videos. -promote your own with the Rotary community and your Facebook friends.   23. George Let’s move onto a different are within MyRotary, the new Member Center. If you have forgotten where to find any or all of the information just covered, the Member Center is a great one-stop-shop to find out more about key benefits and resources available to you, including: Rotary publications and products, licensed vendors, mobile apps, and online tools (RC Central, Ideas, Showcase) Awards and donor recognition opportunities Rotary International Convention, our biggest event of the year, and our newest program, Rotary Global Rewards, our brand-new member benefits program featuring discounts on travel, hotels, dining, and entertainment [click]

Becca Another important section we want to look at today is Learning and Reference, which is where you can access all of the training information by role or by topic and other materials for reference such as the Official Directory [click] and the Manual of Procedure [click]. [click] In the same section, you will find useful courses in the Learning Center, including one on Rotary Club Central (which we’ll talk about later). Webinars will help you learn more about Rotary topics of interest such as using social media, lifecycle of service projects, or engaging young professionals. You can also go to the Document Center to browse and download forms, training manuals and publications that are produced by Rotary. [click]

I would like to emphasize the importance of the Learning Center and how valuable the resources here are. I think this is a forgotten piece on Rotary Club Central and can be very helpful for Rotarians. Here you can access webinars on a number of different topics, join discussion groups, access how-to-guides and other valuable material. George, I know you feel strongly about the learning center.   32. Becca Here are some general benefits to using RC Central to set goals: [CLICK] It centralizes information. It provides access to all the data that was previously available from several reports. [CLICK] It eliminates some paper. It replaces paper forms: membership, Rotary Foundation goals, & Planning Guide [CLICK] It fosters continuity in leadership. Club leaders change annually, so by offering them the ability to see a history of goals and achievements, it creates continuity among leaders. [CLICK] It enables clubs to track their progress. Club leaders can determine whether the goals they’ve set are realistic and make changes if needed. [CLICK] It creates transparency. All members are able to see club goals. [CLICK] It showcases the important work that Rotary clubs do worldwide. Rotary has not had a vehicle for collecting information about the millions of service projects that Rotarians undertake. With RC Central, clubs can document the details of their projects, (number of volunteers and volunteer hours and a list of in-kind donations.) [CLICK] George: the top 2 reasons zone 34 Rotarians like RCC is because it centralizes information and fosters continuity in leadership. Ask at the end: what are the challenges?
  33. Becca Immediate past, current and incoming leaders can enter club goals for the year corresponding to their term of service (i.e. 15-16 club and district positions can edit 15-16 goals). Club level: President Secretary Treasurer Foundation chair Membership chair Executive secretary District level: District governor Assistant governors (only EDIT for clubs in their club group) Committee chairs (that Rotary collects in our member database) Executive secretary *EDIT function available to district leaders to HELP/SUPPORT. Important: This access and functionality is available to club and district leaders a year before they take office. For example, a 2016-17 club president could gain the ability to view goal information for all years and edit goals for the 2016-17 year as soon as 1 July 2015, as long as their role has been officially reported to Rotary. George: Rotary Club Central is an online tool that empowers club leaders to set goals in three key performance areas: - Your Club which includes membership retention, Rotarian engagement, club communication, and public relations - Service which includes service projects and activities as well as new generations clubs and participants -And Foundation Giving which includes annual fund, polio, and major gifts and endowments For each of the three goal categories or tabs, different views, resources and reports are available. I won’t go into the fine details of each section here, but this is really home to where you access information and set goals and information for your club specifically. It’s pretty cool, for example, that you can check the trends of your projects and see how many volunteers and volunteer hours went into a certain event. There are multiple views on the left hand side: Either the Club View or Direct View, which change the information you will receive. This is important for our district leadership in the room. [click]
