Good Morning everybody, hope you are fine this morning and today is tuesday let us start to our workshop!
„Fasten your seatbelts“ because we have a lot stuff today and only 40 minutes time!
Our agenda for today is
WHO we are
WHY Counselor training is important
And most important how it can be done, that Counselors become the best friend of Exchange Students – we say it is the best job in Rotary!
In the second part of the workshop, we would like to hear from you about your great ideas on being the best counselor possible.

My name is ..... a SHORT presentation of each of us
Name, how long with Rotary, connection to the Youth Exchange and Counselor position
The Youth Exchange Handbook – here you see the the cover of the latest one – is looking for a safe and well hosted stay for all exchange students. Everybody - Rotarian and non-Rotarian volunteers have to be trained and the Rotarian Counselor must receive a specialized training.
That is WHY we will have this workshop and take a closer look into this topic
We will tell you something about the selection,
and what are the responsibilities and
of course who will be the partners to whom you will be in contact and communicate to.
First of all is to find someone.
What are the landmarks, if you have to find a
Rotarian Counselor and of course you will find
the best one, isn't it?

Because every exchange student must have a counselor, it is CRUCIAL that the YEO finds someone who fits into the profile – to find the right person!
When assigning exchange students to a counselor consider these points:
Apart from this formal information - How can you identify the right person?
This would be the BEST counselor possible!
- Takes interest the Student‘s „world“
- Is welcoming, generous and hospitable
- Is active, communicative and supporting
- Takes time and enjoys spending it with young people
- Is an understanding and reliable advocate for the student
- Stays in frequent contact with the Student throughout the year
- Anticipates and knows how to support the Student to tackle smaller and bigger problems that may arise
Crucial moments during the years when the Counselor should be supporting: Starting of School, changes of host families, birthdays and holidays, during homesickness , finding friends

One of the first questions of a candidate might be
WHAT I HAVE TO DO?
HOW MANY TIME IT WILL COST?
WHAT ARE MY RESPONSIBILITIES?
A Rotarian COUNSELOR can be a very important person to an exchange student and form his next period, perhaps as a sculptor:
-> Keep contact before arrival, during the year, after returning home
-> Help with Adaptation and finding into the „new“ life
-> Make sure the Student has all necessary information, relevant for club, family, YEO, student‘s home country, school, etc.. And share them with the relevant people -> school trips, rotary trips, national holidays, club events, …
-> Serve as a friend, an advocate and companion
-> Explain how the new life works, culture, differences and similarities, history … mediate between people
-> Look after for the exchange student, support them in tackling problems / Challenges
One of the simple secrets for a successfull exchange - we tell our In- and Outbounds is:
COMUNICATE - COMUNICATE - COMUNICATE
Here you see, where the counselor is expected to be communicating and which reporting lines are connected to the counselor‘s role
There are a lot of potential areas problem areas, for example:
Public: contact with public, contact with neighbours, exposure to public life, political situation, safety measures, „freedom of movement“, … country specific
Counselor should take to role of a mediator to help adaption
The most important part is the dialogue – only this can help to tackle and solve problems
A big table, all relevant people connected in positive atmosphere to find a common solution
The counselor should stay connected to:
Inbound
Host parents
School and other Activities
Rotary Club
YEO
And should know Rotary officials like Youth Protection Officer and other relevant functions

The counselor should be a close companion for the personal growth of the student
The finish line is in sight!
Before hearing your thoughts on best practices for counselors - do you perhaps know this scene?
It was a French movie from 2012 INTOUCHABLES – and the German title ZIEMLICH BESTE FREUNDE – „pretty much best friends“ – reminds me to what in my opinion a counselor should become: a good friend.
To be friends, it does not matter where you come from, how old you are, what status you have.. You just need a huge heart to care!
These young people are in an important phase of their lives and need qualified
help to our goal:
That‘s what we want and what our mission is, every year:
The best year of my life, because Students learn a new language, discover another culture, and truly become global citizens.
Counselors, who became real friends helped students unlock their true potential to:
Develop lifelong leadership skills
Learn a new language and culture
Build lasting friendships with young people from around the world
