Business content is everywhere.
It’s the applications, contracts, claims, correspondence, emails, images and, increasingly, video and social media that define and chronicle the relationship between people and organizations.
Looks at any city or center of business and what is happening behind the surface is the exchange of business content – across all industries - whether it’s posting videos on a website, executing contracts, recording student transcripts, filling out a loan application, processing government benefits, managing medical records, paying invoices, issuing bills and statements or even a cab driver handing over a receipt to a customer.
Business content is the conversation between an organization and its customer. Business content is also the record of transactions between people. And when gathered together and properly understood, business content holds the collected knowledge of an organization.
IBM has identified three areas for growth – data, cloud and engagement – and business content plays a very important role in all three.
Business content is a form of data – perhaps the most difficult form of data to understand. It’s often free-floating data – it’s not neatly arranged in columns – it’s all over the place. But that’s what we do. We have solutions that locate it, organize it and then apply analytics to focus on what matters and find the hidden truths often obscured in the noise.
We are using Cloud technologies to make pervasive access to content anywhere and everywhere a reality – to enable people to use our tools wherever they need it, when they need it, and yet assure that is safe and protected.
And we have industry-leading system of engagement that enable people to engage with content, with other people inside the organization to collaborate, and with customers to deepen relationships for long term customer loyalty.
This chart is a representation of the various data types that organizations must manage and the rough relative size of each component along with the related Analytics tools
that may be used against these various data types:
Starting in the upper right and going clockwise we start with basic data in database table like the first name and last name in rows and columns of DB2, Oracle, etc.. Structured database sources are usually analyzed by they SPSS, Cognos & Watson Analytics tools. As a side note, Data has to archived as well and this is done by tools like Optim.
Next is the concept of Big Data. This data includes NFS drives, Social Media and Sharepoint-like applications. The common factors are that the individual user typically names the file and decides where the file is stored. This makes it very difficult for the organization to find and manage this content. Solutions based on tools such as Hadoop target this type of “content in the wild”. IBM Navigator is an excellent solution for this area based on IBM ECM and Cloud tools. Watson Content Analytics would analyze this type of data along with the “blue” area of individual interactive documents.
The next area is high volume batch archival of static documents. This includes, printstreams (like AFP), batch pdfs, batch XML, line data and check images. This is truly really big data. One of IBM’s customers of CM OnDemand was storing 16TB per day in 2012 which was more than all of the daily content from Facebook and Twitter combined on a daily basis. Again, the common attributes here include static content that is usually generated by the organization and often sent to customers. This content is static. IBM is unique with its patented capabilities in this area and IBM ECM includes this along with the next category of Interactive and Dynamic Content. The Report Mining feature of CM OnDemand would be used to analyze this data type. One other note, the archving of batch XML is still in the category of document archival because the BATCH XML is the modern day version of the physical check and physical receipt (as an example for banking) because the proof of payment and proof of receipt is within the XML message for ISO20022 compliance.
Interactive & Dynamic Content is the final category and this includes the interactive documents that are the heart and soul of business processes. This would include individual documents that come to the organization from the outside and trigger case management. This would includes content such as AP Invoices, Loan Applications, HR documents, Patient Records, etc.. Again these are individually stored documents that are dynamic and at the core of business processes. This area is where most of the ECM vendors in the market focus on exclusively. The exception is IBM ECM because it is optimized to handle both interactive and static batch archived documents with the unified user experience of IBM Content Navigator. This data type along with “Big Data” would be analyzed using Watson Content Analytics.
The CMOD repository is optimized for efficiently storing and managing large volumes of static content including print data such as reports, statements and invoices.
CMOD’s algorithms for database segmentation and data compression differentiate it from other products and enable virtually unlimited scalability.
Content Management repositories (P8 and CM8) are optimized for active content. Documents that are in motion, part of a business process, being authored, versioned, reviewed and approved.
Forcing content from one repository into the other can compromise features, scalability and performance of the optimized repository.
The key to this chart is to make it simple:
The customer has a business application like Oracle Financial or SAP that needs to print a monthly statement job to customers
The data from that application is sent to a composition engine to merge the customer unique information with the company logo and other background information to create the statements
These statements are now normally printed but IBM’s solution can intercept the same print stream and store it into the IBM CM OnDemand solution
At this point, IBM is unique because its CM OnDemand solution was designed and optimized to capture printstream information. It pulls the background information like the form and company logo out and stores it one time only (.res = resources), it also grabs index information needed for rapid searching (.ind = index information) as well as the customer unique information which it applies very efficient compression to (.out = unique customer output information).
All other ECM vendors will simply store all of this print information together and turn it all into a .pdf or .tiff which will grow the file size as opposed to compressing it from 5 to 75 times its original size like IBM’s CM OnDemand solution will do. This makes the IBM solution unique in its ability to efficiently store large amounts of print data and deliver it with the best possible response time thus encouraging customers to accept electronic presentations of their statements, saving the company about $3 USD per mailing while increasing customer satisfaction at the same time.
IBM has been in the ECM business since 1987. In the 1990’s IBM competed against Wang and FileNet. We acquired FileNet and Wang disappeared. That same trend is true today. IBM remains the leader while the names change from year to year below us as our closest competition.
