Facility Management Worldwide
Facility management plays an important role in
ensuring the smooth functioning of an organisation.
They provide facilities for organisations,
institutions, and manufacturing units so that there is the
smooth functioning of activities. These are 3rd party service
providers. Many organisations manage every activity, so
they appoint these facility managers to handle the
operations. This improves the environment and overall
performance of an organisation.
Hard Services
Hard facilities management refers to the physical materials
of a building that cannot be removed. Hard facility
management services are often required by law, to ensure
the safety and welfare of employees and customers. Hard or
technical services include services provided to maintain the
hard infrastructure of the site like Mechanical, Electrical,
and Plumbing (MEP) Systems.
Gas, plumbing, and heating – There is a control room and
kitchens which contain gas connections, pipelines, and
obal Facility

heating devices. These are inflammatory and should be
handled with caution.
HVAC systems - It consists of Heater, ventilation, and air
conditioning services. Temperature balance in workplaces is
necessary. HVAC systems resolve issues like leakages,
cracks, etc.
Lighting, electrical, and mechanical – to check if the
devices are loosely positioned or whether electrical
connections are in place. These services handle all the
issues related to lighting, electrical, and mechanical
departments.
Fire safety systems – Fire alarms, fire extinguisher
treatments are done to avoid huge losses due to accidental
fire or electric sparking. To avoid this, there are services
with added technology. This is to ensure health and
instrumentation safety in an organisation.
Building maintenance work – Building maintenance can be
a basic service to make sure that all the devices are
functioning properly.

22. Soft Services
Soft services involve the provision of services that are
variable in nature and help in making the premises a better
place to work/reside. Let’s look at the comprehensive list of
soft services offered by Facility Management companies.
Decorating – If employees or anyone working in an
organisation have birthdays or anniversaries or if the
organisation is celebrating its anniversary, then these
services come into play. This includes management of
occasion days and planning parties or events accordingly.
Catering services (including vending machines and water
coolers) – Maintenance of the vending machines, pantry
processing, etc. They have to make food-related arrange-
ments.
Cleaning services – These include all the floor cleaning,
janitor jobs, which include all the cleaning and maintaining
hygiene in an organisation. An unhygienic environment
often creates opportunities for several diseases. For this not
to happen, cleaning services are involved.
Pest control – Sometimes in the workplace there can be
microorganisms, which can disturb the employees who are
working in an organisation. Controlling the pests and not
letting them inside the place can create an easy and hassle-
free environment to work.
Waste management – The garbage and sanitary waste must
be treated so that it does not hinder the workflow. Proper
scheduled waste management is necessary.
Car parking – Employees come from areas which are far
away from an organisation, if there is no proper parking,
then it may block the roads. Therefore, a planned parking
system is mandatory. These services take care of the vehicle
and park them in respected places.
Safety and Security
These services ensure that the employees working in an
organisation are safe. Especially the women's transportation
if it is a night shift. Security administration is carried out so
that there is no harm to the employees from anybody
Functions of Facility Management
Following are the four functions of facility management:
Supporting people
Taking care of employees in an organisation is necessary.
Proper management of desking arrangements, managing
employee directories, facilitating space utilisation and
emergency planning has to be done to maintain efficient
workflow between employees. Facility management takes
care of all the services related to employee workflow. This
is a part of employee management. Whatever issue arises
related to the employees of an organisation, then it is the
facility manager’s responsibility to find solutions to the
problems.
Establishing processes
It includes handling the process related to submitting work
requests, reserving space within the facility, checking
guests and visitors, and emergency action planning. These
include the process involved in settling issues and clearing
out emergencies.
Facilities upkeep and improvement
It mostly deals with the interior of an organisation. It covers
services like finding vendor contacts, repair, maintenance,
building improvement, workplace cleaning, and decoration,
and on- and off-site property management.
Technology integration
In this, the facilities take care of all the things related to the
new technology implementation into an organisation. Using
high technology benefits the work structure and functioning
of researching IoT devices based on data collection needs,
integrating IoT devices into everyday facilities processes,
determining the cost, ROI, and advantage of smart technol-
ogies, using aggregated data to better understand the
workplace.
An organisation cannot manage all the activities on its own,
so they hire facility management companies to provide
facilities. In the pandemic period, facility management
companies have grown. They have shown significant
growth as organisations are getting relief from the pan-
demic and everything is getting back to normal. The
coming time will show the importance and further growth
in facility management.

4. What were the challenges when EFS
started venturing into the facility
management services sector?
In 2009, Tariq Chauhan, the newly
appointed CEO of EFS Facilities
Services Group (EFS) at the time, was
thinking big and EFS was well-
positioned in the integrated facilities
management services sector, but
Chauhan was about to unleash a series of
shrewd moves. “I felt that to have the
critical mass and to be large was no more
an option, but a necessity,” he says.
“There was no room for me to remain in
the small to medium space -to be a
US$100 million company- we had to
have the critical mass, because of the
challenges that the business was facing.”
At the time (2010), EFS had 2,000
people on the books, enjoyed 76% of
contract retention, and 21% revenue
growth. However, Chauhan's vision was
only beginning to take shape and was
driven by difficult market conditions,
economic slowdown, and emerging
competition.
Today, EFS is a regional leader in
delivering integrated facilities
management services with its network of
26 operating companies in 21 countries
across the Middle East, Africa, South
Asia, and Turkey.
5. How the adaptation of new
technology in the facility management
services space has helped to transform
your company's operations and what
more could be expected in the future?
The technology adoption has increased
by 50%-60% with it being a tool for not
just cost saving, but it is now seen as the
basic tool for delivering efficiency,
increasing productivity and business
continuity.
Contract Cost savings need to increase to
over 30% to compensate for the increase
in the cost of implementation of
technology.
6. How has the ongoing pandemic
affected the operations of your
company? How are you driving your
firm to sustain its operations and
ensuring the safety of your employees
at the same time?
At the start of this pandemic, workplaces
had to be shut down; employees had to
work remotely wherever possible.
Lockdown was imposed at most places
across the world, including India. Apart
from fear and anxiety, retention of staff,
safety and hygiene, transportation, food
and accommodation were the real
challenges on the ground. The client
along with us could envisage its impact
on business and engaged EFS in all their
emergency planning stages.
EFS India realised early on that there
would be an increased focus on new
services and activities as mentioned, to
facilitate employee's return to their
workplaces and so driven by an increased
focus on the user experience and
business outcome, EFS Facilities
Services came up with a wide range of
Covid related services to support
organisations and their employees be
safe. Safe, sustainable, and healthy work
environment solutions are offered to all
areas of facilities and business including
air and surfaces, using the most advanced
eco-friendly technologies. The array of
initiatives ranges from Sanitization &
Deep Cleaning, Concierge, Employee
Health & Safety Assurance, Disinfection
of HVAC System, Reconfiguration of
lighting System, Technology Suite,
Hazardous garbage segregation & safe
disposal, Transport and Security.
Whilst ensuring business continuity EFS
was ensuring:
1. Continuous motivation and
counselling of team in reinforcing
their confidence and morale
2. Keeping two teams on rotation and
thereby reducing the risk of continuity
3. Created accommodation at the site and
provided food with all safety measures
4. Cost benefit analysis of in-house vs
outsourcing of selected maintenance
of utilities
5. Renegotiated with existing vendor
partners and reduced the cost
6. Applying predictive maintenance
techniques in fine tuning the
frequencies of AMC
7. Rewarding and recognizing the front-
line staff
8. Extending financial support to the
affected employees beyond statutory
norms
As a result, after many sessions of brain
storming, we could come up with some
interesting solutions in a phased manner,
without compromising on any service
deliveries and compliances as well. We
could run our operations successfully
with the help of minimal employees
against full authorized strength, without
any disruptions. Since the entire scenario
is very dynamic in nature, it has been
only possible due to effective

27. per government norms, understanding
market scenario and employee
sentiments.
We are a company that has always put its
people first, and we have used this
pandemic as an opportunity to once again
display that commitment to our
employees. Apart from the obvious
decision to switch to a remote work
model for our employees, we provided
employees at our offices and in the field
with sanitation and self-hygiene
products, created safety contingencies,
provided up-to-date health information,
and even procured lifesaving medical
resources and provisions to offset
medical costs for our employees. We
strongly believe that happy and healthy
employees create a prosperous and
successful company.
When it comes to our clients, we took it
upon ourselves to ease their burden in
whatever capacity we would. We had 1:1
meeting with our clients to
collaboratively find the best approaches
to enhancing their experience during the
pandemic by offering the latest
technologies and services that the world
of facilities management had to offer and
have successfully enabled an efficient
and safe hybrid of in-person and remote
work model for several of our clients.
In the current crisis, the FM industry is
facing various client expectations,
resulting in changing work and public
place habits and expectations of
employers, employees, and consumers.
This has an impact on how the company
trains and manages its workforce,
operations and supply chains, ensure
governance, and interaction with
customers. One trend coming up is the
increased demand for FM services to
facilitate all the employees while
ensuring high standards of sanitation and
cleanliness.
On the side of operations, the costs have
slightly increased due to maintenance of
proper sanitation measures, personal
protective equipment (PPE), as well as
the overall adoption of the latest
technologies and scanners to ensure
cleanliness and a safe, covid-free
environment. Most clients have issued
guidelines to emphasise protocols to be
followed when workers enter a factory or
office premises, such as quick body
temperature checks, app-based tracking
of moving workforces in logistics or
those travelling. This necessitates more
innovative methods of scheduling and
managing facility workforce and tasks.
The staff is expected to work harder and
collaborate more on crisis management.
Having found more effective ways to
work together, managers and leaders in
EFS built on the momentum by
continuing to engage with staff pro-
actively, hold some meetings remotely,
engaging in more formal and informal
contact, and focusing on corporate
resilience. We established a strong
communication platform and connected
each staff member on WhatsApp groups
which were used to send information and
various other EFS communication. We
communicated actions related to Covid
protocols, Do's and Don'ts, best
practices, etc.
We knew that workplaces will never be
the same, and our client organizations
that want to lure workers back in will
have to ensure their safety, health, and
wellness. We have supported our clients
in taking the lead and offering them
customized solutions to support their
critical business operations, redesigning
layouts to accommodate hybrid work,
and supplying a “wow factor.”
We have extended many benefits to our
staff to address the requirements and
exigencies during the pandemic. We
committed to providing all staff access to
oxygen cylinders, oxygen concentrators,
free online doctor consultations,
counselling, temporary loans, salary
advances, leave encashments, and ad-hoc
financial aid. We set up Covid hotlines
with our own staff from HR in multiple
cities. We have organized and facilitated
for the staff to take their vaccination and
provided Paid time off to get vaccinated.
All covid positive employees have been
paid a full salary during their
hospitalization or quarantine or recovery
period.

28. We have observed that the COVID-19
pandemic has changed customer
behaviour, their attitudes toward work,
and even some views about the society
and environment itself. To really flourish
during and after the pandemic, we
realized that we would need a new set of
skills, including social, emotional,
advanced cognitive, and higher levels of
digital capabilities. Cost reduction, risk
management, and ensuring that
operations and maintenance are run
efficiently will remain at the heart of
facilities management for now, but the
changing importance of facilities
management means FM managers need
to embrace their new strategic function
and also build their team's skillsets to
prevent being left behind.
7. Where does EFS envision to be in
the long run and what are the future
goals?
Integrating global knowledge, regional
presence, and local experience will
eventually be a successful model. By
bringing professionals from around the
world with relevant knowledge and
experience, to be incorporated into our
regional presence, because we have
moved the concept of fixed-cost to
variable.
We offer a lot more horizontal services
than just vertical services alone. So, this
combination of vertical-horizontal,
through a regional model, can help
clients. One is to accomplish
consolidation. The second is also to
reduce operating costs. Thirdly, better
contract management.
Tariq has now set his goals in making
EFS a public listed entity on the London
Stock Exchange and aims to make it the
greatest home-grown multinational
enterprise. Alongside this, Tariq also
strives in creating an exclusive
rehabilitation and entrepreneurship
initiative for migrant blue-collar workers
returning to their homes in India. He also
aims to complete a book based on his
insights and experience on Common
Good.
8. What is the current
industrial scenario of the
Indian facility management
services space?
The Indian facility
management services space is
one that is ripe for disruption.
While a lot of companies
across the country have settled
for traditional facilities
management processes, at EFS
we will not be satisfied until we
have brought the innovations,
technologies, services, and
processes that the western
world has greatly benefitted
from to the Indian market.
While we understand the
natural inertia of adoption that
many of our clients face when
looking to the future, our job as
a leader in this space has been
to provide knowledge, share
resources, and show the
effectiveness of employing these new
practices and the positive impact it has
on productivity and the bottom line.
While on the face of it, automation, AI,
IoT may just seem like trending terms
that are often thrown around, we have
gone a step beyond to procure
implementable digitization solutions that
utilize these technologies and have
showcased first-hand how enabling them
into the business can provide our clients
with an edge in their business practices.
We hope that together with our ever-
expanding list of clients, we can pave the
way for a digitized revolution in the
Indian facilities management landscape.
In light of the recent pandemic, while
many industries have seen a decline in
demand, a few others such as the Indian
facilities management services have
shown areas for added potential and
transformation. With a projected increase
in the overall size of the FM market, the
Indian market presents a similar story
and positive outlook.
As there is now a higher need for a clean,
hygienic, and germ-free environment,
FM has become the fulcrum of health,
and safety measures in work and public
spaces as well as in planning for a post
covid 19 workplaces. As organisations
are looking to hire skilled, and highly
trained professionals, IFM firms can
effectively capitalise on this opportunity
through their innovative technology and
ideas.
Furthermore, as companies are now
actively investing more to ensure the
health and safety of their employees
there is also an unanticipated shift in the
focus of FM from security and
maintenance to hygiene and sanitisation
to create a safe, germ-free working
environment.
The current pandemic has also played a
significant role in automating FM
processes such as maintenance and
service requests. This provides an
opportunity for the Indian facilities
management to work more effectively
and logically while planning for the
facility activities.

30. Evolution of
facility
Management Space
in India
T
st
he 21 century came with its
own wonders. The ripples
created by IT revolution led to
the growth of many business ideas. The
Facility Management (FM) sector is no
exception to this. Previously, the
structure of FM was unorganized and
was only limited to infrastructure and
maintenance sectors. Facilities were
simple and only limited to some of the
physical assets. But, like other
industries, this field too expanded
rapidly.
In the transformation process of India
from the third world to the first world,
FM played a vital role. Smart security
guards, designated parking, clean and
shining offices, their well-furnished
infrastructure, and a safe environment,
all became possible because of FM.
Smart working replaced the traditional
ways of facility management and
there’s no looking back. In 2021, FM
has become an umbrella term covering

32. a bunch of activities such as – real
estate management, maintenance,
utility supplies, human resource
management, health and safety
management, and many more.
What is Facility Management?
The term facility management or FM is
broadly associated with maintenance-
related activities in the real estate
sector. It is an important aspect of
business management that involves
creating and maintaining a comfortable
physical environment. FM applies to
any physical space that needs to be
managed. It may be a hotel, school,
company infrastructure, or even a
hospital. FM ensures a pleasant and
smooth working environment. Though
it is still evolving, it has significant
influence in metro cities.
Evolution of Facility Management in
India
Facility management has its roots since
1978, when it was recognized as a
specialist business function in USA.
But in India, it was only limited to the
construction and maintenance of
buildings. The implementation of LPG
model (Liberalization, Privatization
and Globalization) attracted foreign
investment in the country. This was the
time when the overseas business
culture was introduced to the Indian
civilization.
Till 2000, India continued to have an
unorganized style of facility
management. In 2005, the amendment
in FDI (Foreign Direct Investment)
accelerated the real estate sector. Post
liberalization, MNCs came with large
campuses and applied their working
culture in the campus. These
companies anticipated same qualities
of facilities and environment, as it was
in developed countries. This led to the
emergence of organized facility
management services and since then,
the FM sector took off in India.
Recent Trends of FM
As mentioned earlier, FM is a broad
term. It involves all the activities that
are necessary to maintain a healthy,
safe, and pleasant workplace. FM can
be broadly classified into following
categories:
• Hard Services
Hard services are mainly
connected with the physical
components of work environment.
In other words, they focus on the
spaces and infrastructures. They
are mainly concerned with the
maintenance department i.e.,
maintaining electrical and
mechanical systems, providing
plumbing services, light and
HVAC system, structural
maintenance etc.
• Soft Services
Soft services are additional
services that are related to the
people’s comfort. These services
are mainly concerned with
aesthetics of the company. These
services ensure that the workplace
is comfortable, visually appealing,
healthier, and safer. These include
waste management, housekeeping,
cleaning, occasional pest control,
space planning etc.
• Safety Services
Safety services are not the primary
services provided by FM, but they
are equally important for any
organization. They ensure the
safety and security of an
organization. These services
include fire and safety systems,
quick response, guarding, access
control systems etc.
• Accounting Services
Accounting services are also
secondary services and the newest
involvement in FM. These are
important for the financial
activities of an organization. These
include billing, forecasting,
financial controls, etc.
Future Scope of Facility
Management
Although FM has rooted deep in
developed countries, it is still evolving
in India. There is a lot of scope for
progress in this sector. The FM sector
in India is mostly limited to the mega
cities like Mumbai, Delhi, Chennai,
Kolkata, Pune, and Hyderabad. Most
of these are IT hubs or have MNCs in
their respective regions. The techno-
savvy world has modernized
everything, and FM is no exception to
this.
The application of Artificial
Intelligence (AI) and Internet of Things
(IOT) completely transformed the
facility management sector. Different
software is developed for the smooth
flow of working. This software
eliminated the need of human efforts
and minimized the fluctuations in the
workflow. The insertion of IOT and AI
in FM automated the whole process.
While FM in India is in the initial
phases, it has already become essential
in the developed regions. The recently
announced project of development of
100 smart cities in India is a clear
indication that FM has a bright future
ahead. This sector is already spreading
its legs into small, developed cities,
where companies demand a healthy
working environment. The
advancement in technology is only
going to aid FM sector and it will
create millions of employments in near
future in India.

34. Companies can employ a variety
of strategies to estimate current
and future staffing needs with
strategic human resource planning
(HRP), but the end goal is always to
reduce exposure to labour surpluses or
shortages.
Managers must anticipate individuals
moving into, out of, and within a
company. They should be able to
forecast future demand for the
company's products and services.
Finally, within the framework provided
by supply and demand estimations,
they must adopt processes and
activities that improve staff
competences.
The quality of the workforce in a
certain organisation determines the
overall functioning of the organisation.

Over time his business grew, and he
invested in other verticals like
housekeeping, pest control, repair and
maintenance, electrical and plumbing,
banking support services, landscaping,
tower site maintenance, optical fibre
and so on. Back in 1985, he had a
manpower of three, while at present he
has a family of 22000 happy
employees.
What were the challenges you came
across when you started a business
in the facility management services
sector?
Mr. Karmakar says, “Challenges are
part of life; however, the focused area
is the key takeaway from such
situations.” Mr. Karmakar has always
considered these situations as an
opportunity to learn and equipped
himself and his team with all available
resources to stay ahead of the game.
He strongly believes employees are the
true face value and main drivers of
growth of any company and thus,
never regrets investing in human
capital.
How the adaptation of new
technology in the facility
management services space has
helped transforming your company's
operations and what more could be
expected in the future?
“Adapting to change is the only
constant for the growth of any
company.” Being in the facility
management sector, the industry has
taken huge leaps in terms of growth
with the use of advanced technologies.
Our company has invested a huge
amount of time and money in our
research and development team,” says
Director Shreyasee Karmakar. The
technologies have not only helped us
providing seamless service to our
clients but has improved the efficiency
of our servicemen. We have presently
entered a smart city project. S&IB is
ready for all challenges and surprises
that come its way.
How has the ongoing pandemic
affected the operations of your
company? How are you driving your
firm to sustain its operations and
ensuring safety of your employees at
the same time?
The ongoing pandemic has affected
every industry. However, being in the
facility management sector, we could
not stop providing services to all our
clients. We had to take utmost
precautions while rendering such
services. All our staffs were trained and
regularly monitored to undergo this
difficult situation as we provide
essential services like cash remittance,
ATM management, mobile tower site
management, housekeeping,
sanitisation, security and so on. We
have provided all essential safety kits
to our staffs. We have extended our
hand and supported our employees and
their families who fell prey to this
dreadful virus. We have kept
encouraging them and tried keeping
them positive towards life.
We are still organising multiple
vaccination drives to get all our
employees and their families
vaccinated at the earliest.
What would be your advice to
budding entrepreneurs who aspire to
venture into the facility management
services sector?
Never give up your dream or
compromise with your business ethics.
In the cutthroat business ecosystem,
keep your patience and adhere to all
statutory compliances. Aim to build a
brand which customers can trust.
Where do you envision your
company to be in the long run and
what are your future goals?
We aim to employ 50000
underprivileged young males and
females by the end of 2025. We are
planning to work with robotics and
drones in near future, our research and
development team is already on it. We
portray ourselves as the most ethical
and transparent company that observes
all statutory compliances.
What is the current industrial
scenario of the Indian facility
management services space?
The Indian Facility Management
Industry is booming at present. The
competition has led to industries
adapting new technologies helping
them provide seamless services to
clients and increase its own service
efficiencies. We invest a huge amount
of time and energy on uplifting our
employees' efficiencies.
