The old silos are not fit for purpose in a modern digital workplace.
The four needs of an employee:
Transactional process – doing things. From business systems, to filling in forms, requesting holiday, generating invoices
Information – policy, process and procedure, the important knowledge to perform your work
Communication – news, engagement
Collaboration – working as a team and across teams
Large amount of overlap with IT enabling everything but no true single owner of the DWP
Enter the framework
From a communicator’s point of view, using the traditional model of Do Know and Feel.
We also call it hands, head and heart.
Do is productivity. We split personal productivity from Group productivity. It helps put the tools into clear to use boxes. For instance OneDrive can be used to share documents and there’s nothing to stop you sharing a onedrive folder with your whole team. But it’s not the best tool – if you leave the folders will go. I’ve heard horror story of one large HR team who did precisely that, and they lost everything. For groups working together Teams, which sits on top of SharePoint is much better.
Information to do my job – the purpose of a core, traditional intranet.
And engaging communications that turn people into advocates.
The old model. Centred around a giant intranet trying to do too much. From working together to engaging.
In trying to be all things to all people it ends up failing at a lot of things.
A piece of research we conducted came back an overwhelming 85% of people saying “just help me do my job” and “if you can’t get the basics right don’t give me nice to haves”. Especially around search!
The single simplest thing you can do to improve performance and prepare for a better channel mix is to put your intranet on a diet.
Focus the audience, and only keep on it information that is relevant to the widest audiences.
The special interest, smaller groups and inward facing content can go in other places.
We know one company that have set themselves a challenge… 500 pages! (they have around 4,000 people).
A modern channel mix:
Clear understanding between personal work and group work
Clear understanding between collaboration and social media.
An intranet with a core purpose, supplemented by special interest sites and great communications channels
It’s all about people. What tools they need to use for their job. Giving them choice, and a clear understanding of how things link together
Planning up front is a must – the three sins of digital transformation are:
Turning it on without planning
No clear owners
Letting people find their own way
Remember you can’t put the genie back in the bottle.
