a. Logistical Duties
Receiving recording and scheduling daily transport requests assigning driver daily activities
Receiving recording and scheduling the weekly transport requests and assigning driver for the
same
Making follow ups through phone with the concerned drivers to ensure smooth operations of
activities
Planning and organizing for transfer of the organization staff, visitors, samples products from
one point to another
Manage expenses in the transport department
Reviewing and approving the driver over time compensation
Track and make a follow up on all orders made by the transport department
Ensure the transport office is tidy and make arrangements for repainting when necessary and
ensure office equipment are maintained and are in good condition
Submitting all reports in regards to breakdown, accidents, fuel usage, vehicle costing and driver

b. Procurement and supplies management
Maintain a database of all transport vendors and perform a market study for all quality supplies
and fair prices
Request for quotations for all supplies and repairs done in the transport department
Receive all items delivered to our department and confirm if they match the exact description
of items procured
Manage all the stock for accessories in our department and replenish where necessary

Managing the department staff and supervising their activities
Coordinate driver trainings (Defensive driving, Customer service, Basic vehicle maintenance)
Organize the daily transport allocation
Make a weekly transport schedule
Coordinate and ensure the maintenance of the transport pool
Give the monthly report of each and every motor fuel consumption/ motor vehicle repairs
Ensuring all the fleet stickers(Insurance) are renewed on time
Conduct weekly inspection of the vehicles to ensure they are in good shape
Identify companies that can offer transportation services to our organization and contract them
Undertake a monthly inventory of the motor vehicle accessories
Ensure all internal transport policies and the traffic rules and regulations are adhered to
Organizing the loading and offloading of goods and materials for the organization

d. Management of technical equipment
Support fleet management systems including the tracking systems
Foreseeing installation of the fleet management software’s
Identify the providers of the stable networks and facilitate their contracting
Organize installation of communication equipment in the motor pool
